Who we are
Explain My Charity is provided by Digital Tactics Ltd., a private limited company registered in England and Wales, company number 07666910, VAT number GB 118 564 211. Registered office: Ground Floor, 19 New Road, Brighton, East Sussex BN1 1UF. Trading address: 5 Boundary Road, Hove, East Sussex BN3 4EH. You can reach us at [email protected]. In these terms, "we" and "us" mean Digital Tactics Ltd., and "you" means the person or organisation ordering.
The service
We make a short, narrated explainer video of a report, paper or other document you supply, delivered with captions, a transcript and a poster image.
Each video is AI-facilitated, not AI-generated. Our specialised AI agents draft the script from your document and send it to you, and you review and approve it before anything is rendered. The pictures are drawn by our own software, and the narration is a synthetic voice. We do not run automated accuracy checks, and we do not claim to.
Our AI agents use Anthropic's Claude language model, through its commercial API. Anthropic does not use what we send it to train its models. If your document is not marked confidential or under embargo, you must accept, when you submit it, that Anthropic may keep what we send it for a limited period (currently up to 30 days, or up to 2 years if its automated systems flag the material as breaching its usage policy) for safety and abuse monitoring. A document you mark confidential or under embargo is processed only under a zero-data-retention arrangement or with a private model on infrastructure we control. Until one of these is in place we cannot yet process confidential or embargoed documents: you can prepare and save the order, but you cannot submit it, and no credit is spent. If you try to submit it, we keep the draft and its document until secure processing opens and email you when it does. Our privacy policy has the details.
Products and prices
- One video: £39 (£46.80 inc. VAT), 1 video credit.
- Three-video pack: £99 (£118.80 inc. VAT), 3 video credits.
- Six-video pack: £179 (£214.80 inc. VAT), 6 video credits.
- Extra revision round for one video: £19 (£22.80 inc. VAT).
- Human review of one video: £99 (£118.80 inc. VAT).
- Stills for your website for one video, up to 10 still images from it: £4.99 (£5.99 inc. VAT). An optional extra.
- Slides (PowerPoint) for one video, a deck of its scenes with their elements as separate pieces you can move and edit: £4.99 (£5.99 inc. VAT). An optional extra.
- Enterprise subscription: from £399/month, with the optional review add-on (£749/month).
Style options. The choice of narration voice is always free. The other style options, a full-animation or mixed layout and a custom layout from a slide design you upload, are included free during our launch. We may charge for some style options in future. We'll tell you before we do, and it won't affect videos you've already ordered.
Length and Shorts. You choose a target length of 1, 2, 3 or 5 minutes for each video, and the video runs no longer than that. You can also ask for a set of 3 vertical Shorts made from the same document, instead of the video or with it. During our launch, any length up to 5 minutes and Shorts are included for the price of one video, and a video uses one video credit whatever its length and format. We may charge for longer videos and Shorts in future. We'll tell you before we do, and it won't affect videos you've already ordered. A video longer than 5 minutes, or one covering several documents, is quoted separately.
The price that applies is the one shown when you pay. Prices are shown without VAT, with the VAT-inclusive figure alongside. Digital Tactics Ltd. is registered for VAT in the United Kingdom; the VAT that applies to you is worked out at checkout from your billing address and shown before you pay, and you receive a VAT invoice. If you are buying for a business outside the UK, enter your VAT or tax ID at checkout, and where the reverse charge applies no UK VAT is added. Card payments are taken by Stripe on its own checkout page.
Video credits and expiry
A purchase adds video credits to the account you bought for: your personal account, or your team's. Starting a video spends one credit, taking the credit that expires soonest first.
- Credits bought singly or in a pack expire 12 months after purchase.
- Enterprise credits are added for each paid month and expire at the end of that month. They do not roll over.
- Only unspent credits expire. A credit is spent when you submit a video, and a submitted video keeps its credit however long it takes us to finish.
- If we cancel a submitted video for our own reasons, we restore the credit, valid until the later of its original expiry and 30 days from the day we restore it.
If you buy as a consumer, unused credits are refundable within 14 days of purchase, as described under "Cancellation and refunds".
Revision rounds
A revision round is one complete render of your video. Every video includes 3 revision rounds, and the first render uses one, so the included rounds cover 3 renders in all. A round is also used when you ask us to rework the script. Rounds belong to that video and do not expire while it is open. You can buy an extra round for a video from when its script is ready until you accept the finished video.
A render's round is used when you approve its script for production. If the video has no round left, you need to buy one before we render it. Asking for changes to a finished video does not use a round itself; the new render it leads to uses one, once.
These never use a round: the first draft of the script, your own edits to the script, and putting right a mistake of ours (see "Putting our mistakes right"). Changes stay within the same document, audience, length and format: a change of document, audience, target length or format is a new video.
Free trial vouchers
We sometimes give out printed cards with a free trial voucher code. A voucher gives one free video: a widescreen video of up to 1 minute in the slides layout, with one revision round instead of 3, and no add-ons. Extra revision rounds, human review, Shorts, longer videos and other options cannot be added to it.
- You redeem a voucher at the address on the card, signed in to your account. It adds one video credit to the account you choose, and it works only on the site printed on the card.
- Each code works once. One per person; organisations get up to five, then get in touch. Each account can use one voucher, and we treat everyone signing in with the same organisation's email domain as one organisation. Once an organisation has used five, a card is not used up: get in touch and we will set your team up.
- A code must be redeemed by the date printed on the card. The credit it adds expires on that date too, or 30 days after you redeem it if that is later.
- If your account has other credits, they are used first, so a video you pay for always has its full revision rounds.
- A voucher has no cash value, cannot be exchanged for money or other credits and is not refundable. Once redeemed, its credit belongs to that account and cannot be transferred.
- We may refuse or cancel a voucher that has been copied, sold or used against these terms, or withdraw an unredeemed batch of cards, for example one that has been lost.
Everything else in these terms applies to a video made with a voucher, including how the script is approved and who owns the video.
Human review
Human review is an optional add-on. One of our editors checks it against your document and signs it off before it comes to you. If the script is revised while a video has human review, the revised script is reviewed again.
You can add it to a video at any time before you approve the script, or, on the enterprise subscription, through the review add-on. Human review describes a process, a second person's check; it is not a promise about the outcome, and your approval of the script remains the final check.
Approving the script
Before you approve a script, you can edit it on your video page: change the narration, add, remove or reorder scenes, and note what you would like to see in each scene. We narrate your edits exactly as you write them, so please check names, numbers and wording against your document.
We render a video only once you have approved its script. Approval is your confirmation that you are content for that script, including your edits, to be rendered. It does not exclude our duty to use reasonable care and skill, or any remedy the law gives you, including under sections 49 and 54 to 57 of the Consumer Rights Act 2015.
Putting our mistakes right
If a finished video does not match the script you approved, or contains a mistake of ours, we fix it free of charge and the fix never uses a revision round. This is your right, not something we decide at our discretion. If we cannot put it right within a reasonable time or without significant inconvenience to you, you may be entitled to a price reduction or refund.
Auto-acceptance and lapsing
When your video is ready, you can accept it or ask for changes. If you do neither, we remind you after 7 days, and the video is treated as accepted 14 days after it was ready.
If a video is waiting on you (for a script approval, a response to a render, or anything else we have asked for) and you do not respond for 90 days after our last email asking you to act, the video lapses and its credit is not returned. We remind you after 7 days and again after 30 days before this happens.
Neither rule affects your statutory rights.
Capacity and turnaround
We take on only as many videos as we can deliver. When we are at capacity, new purchases pause; credits you already hold can still be spent. We do not promise a delivery date when you order. We will confirm timing when we send your script; that timing is an estimate, not a guarantee, and runs from when we have everything we need. We will tell you if a video is going to take materially longer.
The enterprise subscription
- The subscription is from £399/month, billed monthly, and is for businesses and institutions only. The person subscribing confirms they are buying for their organisation, so the consumer cancellation right does not apply.
- Each paid month adds 15 video credits, which expire at the end of that month.
- The subscription includes still images and slides for every video. This applies to every video made with a subscription credit, and stays with that video if the subscription ends.
- Up to 5 people can be members of the team, including its owners. Larger teams can ask about our institution terms.
- Every order can use your own brand, imported from your website or your logo, at no charge (see "Your brand assets"). On the subscription we also build your team a brand pack by hand within 10 working days of receiving complete assets. If your typeface cannot be licensed for embedding in video, we use an open font and tell you why.
- Human review is not included. You can add it to any video at the per-video price, or switch on the review add-on (£749/month), which is billed monthly on the same subscription. Every video submitted while the add-on is active gets human review. An owner can switch the add-on on or off from the team page; the change applies to videos submitted afterwards, not to videos already submitted.
- An owner can cancel at any time through "Manage billing". The subscription ends at the end of the month already paid for, and there is no refund for part of a month.
- If a payment fails, Stripe retries it. While a payment is overdue, videos funded by the subscription cannot be started, though videos already under way continue. If every retry fails, the subscription is cancelled.
Institution invoices
If your institution needs to pay by invoice or purchase order, send us an enquiry. Once we have agreed terms, we set up your team's account and send a Stripe invoice payable within 30 days, quoting your purchase order number. We add the video credits to your account against that invoice. Anything we agree with you in writing applies alongside these terms.
Cancellation and refunds
Cancelling a video. You can cancel a video before we start drafting it, and the credit goes back to your account.
If you are buying as a consumer rather than for a business, you can cancel a purchase within 14 days of making it. When you order, you ask us to start straight away and acknowledge that your right to cancel ends once the video is delivered. If you cancel within the 14 days, we refund:
- unspent video credits, and revision rounds or human review you bought and we have not yet used: in full
- for a video you have already submitted, its per-video price (the price you paid divided by the number of video credits it bought): in full before we send you the first script; 50% after we send the script and before you approve it; and nothing once the finished video has been delivered with your agreement to start straight away
Stripe fees are not deducted. We refund to the card you paid with, within 14 days of your cancellation. To cancel, email [email protected].
If you are buying for a business, video credits, revision rounds and human review are not refundable once bought, whether or not you have used them, because we reserve production capacity for them when you buy. Unspent credits stay available to your account until they expire, and a video cancelled before we start drafting returns its credit to your account.
Nothing in these terms affects your statutory rights, including your rights under the Consumer Rights Act 2015 if a video is not as described or not made with reasonable care and skill.
Who owns the video
The script is yours. We keep the copyright in your video's imagery, including its still images and slides, and in the drawing system, visual components, characters and templates we use to make videos.
Once you have paid, we grant you a worldwide, royalty-free, non-exclusive and permanent licence to use, copy, publish and share your video, its captions and transcript, and its still images and slides where you bought them or your plan includes them, anywhere, including commercially. You may edit the slides, moving, resizing and restyling their elements, to make your own presentations and materials about the same document. The licence does not let you extract those elements for unrelated work or sell them on their own. Your document itself remains the property of its rights holders.
Samples
We never publish your video, or use it as a sample of our work, without your written permission. We never use anything from a document you flagged as confidential or embargoed as a sample.
The document you give us
When you order a video, you choose what it may show from your document, and what you confirm depends on that choice.
A redrawn video copies no text or images from your document: we relay its ideas and findings in our own words, redraw every diagram and plot every chart from the numbers the document reports. For a redrawn video, you confirm that you are entitled to share your document with us so that we can read it and make the video. We are responsible for making a redrawn video without copying your document's text or images; at most, we may quote a few words, attributed, where that is essential. Because copyright protects how a document is written and drawn rather than its ideas or facts, a redrawn video does not normally need the publisher's permission, and we accept it whatever your document's licence.
A video that shows your document, with clips of its pages or figures, reproduces your document. For this kind of video, you tell us why your document may be adapted into a video, and you confirm that your answer is true. The answers we accept are:
- you or your institution still hold the copyright, or your publishing agreement allows adaptations. Many authors assign copyright to their publisher, so the fact that you wrote the document is not enough on its own;
- the publisher has given permission, which you describe to us;
- your document is published under a CC BY licence;
- your document is published under a CC BY-SA licence, in which case the share-alike terms of that licence apply to the video;
- your document is in the public domain; or
- something else, which you explain and which we check before we start.
We cannot accept documents under CC BY-ND or CC BY-NC for a video that shows your document, because those licences do not allow adaptations or commercial use. We can make a redrawn video of them.
Our page Copyright and your video explains the two kinds of video. It is for information only and does not form part of these terms.
You also confirm that you are an author of your document or are authorised to act for its authors or their institution; that using any names, logos or brands you ask us to include is permitted; and that you have removed anything that could identify research participants.
You will indemnify us against any claim, and the reasonable losses and costs we incur because of it, arising from a confirmation you gave us that was not true. We may decline or pause any order we reasonably believe infringes someone's rights or misrepresents who is behind it.
Your brand assets
You can give us brand assets for your videos: logos, colours, fonts, font files and brand guidelines, uploaded or read from a website address you give us. Before a brand is used in a video, you confirm that you are entitled to use these logos and brand assets in the video, including, for a font file, that you hold a licence to use it in video. We record that confirmation and when you gave it.
You keep all rights in your brand assets. You give us permission to use them only to make, revise and deliver your videos, and we use them for nothing else: not as samples, not in our own marketing, and not for anyone else's videos. If a font cannot be used in video, we use a similar open font and tell you. The indemnity in "The document you give us" also covers this confirmation.
Takedown
Anyone who believes a video made with Explain My Charity misrepresents their research, or uses their work or brand without permission, can email [email protected]. We will investigate promptly and, where appropriate, take the video down from anywhere we published it and suspend the order while we do.
AI disclosure
Every video discloses that its narration is a synthetic voice and that its script was drafted with AI assistance and approved by you. The disclosure is in the video file's metadata, the first caption, the transcript and the delivery email, in line with Article 50 of the EU AI Act.
You must not remove or contradict that disclosure when you publish the video, and where a platform offers a setting for altered or synthetic content, such as YouTube's, you must use it.
Publishing to YouTube
If we offer to publish a video to your YouTube channel and you connect one, we publish only the videos you ask us to, with the details you have reviewed. You are responsible for your channel and for complying with the YouTube Terms of Service, including its rules on disclosing altered or synthetic content. You can disconnect your channel at any time. See the privacy policy for how we handle your Google account information.
Your account
You sign in with a link we email you, so keep access to your email account secure, and tell us promptly if you think someone else has used your account. You are responsible for what is done through it.
Everyone has a personal account and can belong to one team. A team's owners manage billing, invitations and members; every member can order videos with the team's credits, edit and approve scripts, ask for changes, and see all of the team's videos. Credits belong to the account that bought them, and a video belongs to the account it was ordered for. If your organisation wants the terms on which we handle personal data for it set out in writing, see our data processing agreement.
Acceptable use
Do not use Explain My Charity to misrepresent research, to impersonate a researcher, institution or organisation, or to promote a medicine or health product in a way the law does not allow. Do not try to get around the limits on the service, or upload anything that is malicious. A video is an explanation of a document, not professional, medical or financial advice, and should not be presented as such. We may suspend an account that breaks these rules, and will tell you why.
Liability
We make every video with reasonable care and skill. Beyond that, and to the fullest extent the law allows, we are not liable for any loss arising from how a video is used or relied on, or, if you are a business, for lost profit, lost business, or any indirect or consequential loss. Where we are liable to a business, our total liability for an order is limited to the amount paid for it. Nothing here limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited, and nothing affects your statutory rights as a consumer.
Changes to these terms
We may update these terms. The version in force when you make a purchase applies to that purchase, and we will tell subscribers by email before a change affects their subscription. We show the date of the latest change at the top of this page.
Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. If you are a consumer living in Scotland or Northern Ireland, you may also bring proceedings in your local courts, and if you live elsewhere you keep the protection of the mandatory consumer law of your country.
